How Does It Work?
A typical order in OrderPilot moves through a few clear stages. Here's how that looks in practice:
1. Create a Custom Order
A sales representative creates the order in Shopify POS or Shopify Admin using the custom fields configured by the merchant for their business. Product specifications like material, dimensions, color, finish, and special requests are captured in a structured format from the start.
2. Review & Approve
The order enters a review queue where managers or production staff can approve it, reject it, or request changes with inline comments. Orders move into production only after they've passed review.
3. Sign-off & Deposit
Once approved, the sales representative sends a secure invoice and signature request to the customer. The customer can review the final order details, sign off digitally, and pay a deposit or full amount to confirm the order. Workflow proceeds once this step is completed.
4. Generate a Purchase Order
Once approved, the merchant generates a vendor purchase order that automatically includes all custom specifications. Purchase orders can be exported as professional PDFs and shared directly with suppliers.
5. Receive Inventory
When goods arrive from the vendor, the merchant marks the purchase order as “Received”. Inventory updates automatically in Shopify, and associated customer orders are marked as “Ready to Ship”, indicating they are ready for fulfillment.
6. Fulfill the Order
Once everything is ready, the merchant completes fulfillment using Shopify's native workflow, while keeping all custom order details accessible to the team throughout the process.
