Order Review Queue#

Route quotes and orders through an internal approval step before production begins. Reviewers can approve, reject, or request changes, so sales, operations, and production stay aligned.


Signatures, Payments, and Invoices#

Send customers a secure link to review and sign their quote or order, then collect full or partial payments. Deposits and manual partial payments require Shopify Plus.


Purchase Orders and Receiving#

Create vendor purchase orders from your orders, email them to your vendors, and receive the goods when they arrive. You can also track landed costs such as freight and duty.


Order Statuses, Emails, and Notifications#

Build a status workflow that matches your operations. Choose which statuses customers can see, and send customer emails automatically when an order reaches a status. You can design your own branded email templates.

How Does It Work?#

A typical order in OrderPilot moves through a few clear stages. Here's how that looks in practice:

1. Create a Quote or Order#

A sales representative creates a quote or order in Shopify POS or the Shopify admin. They add product templates and choose options such as material, dimensions, color, and finish, so every specification is captured in a structured way from the start.


2. Review & Approve#

If the record needs review, it enters the review queue. A manager or production lead approves it, rejects it, or requests changes. Approving moves the record on as a quote or an order.


3. Sign-off & Payment#

The sales representative sends the customer a link to sign and pay. The customer reviews the final details, signs digitally, and pays the full amount or, on Shopify Plus stores, an online deposit to confirm the order.


4. Create a Purchase Order#

The team creates a purchase order for the vendor from the order. The custom specifications on the order carry over to the purchase order, which you can email to the vendor or download as a PDF.


5. Receive the Goods#

When goods arrive from the vendor, you receive the purchase order in OrderPilot. Once all of an order's items are received, the order moves to Ready to Ship. Depending on how the purchase order was set up, received goods are also added to your Shopify inventory.


6. Fulfill the Order#

You complete fulfillment using Shopify's own fulfillment workflow. All custom order details stay available to your team throughout.
